Conference attendees and official campus visitors
Recreational Services is a great venue for many K-State departments to take advantage of while hosting a conference, workshop, or campus visitors. Many attendees are part of the nation’s population incorporating fitness and recreation into their daily schedule. Recreational Services would like to ensure that your attendees can continue their fitness and recreational routines during their visit to K-State. We offer many opportunities to “get in a workout” or enjoy a leisure activity. We hope you will find the following information helpful in planning your event. The following guidelines pertain to use of the Chester E. Peters Recreation Complex and Ahearn Natatorium.
Access guidelines
- Departments must make arrangements with the Recreational Services administrative office at least two weeks in advance of the event for participants to use the facilities.
- An alphabetized list of participants/visitors names must be received in the administrative office no less than 48-hours prior to the first day of use. If participant use is to begin on a Sunday, the list of names must be received on the preceding Thursday.
- Participants/visitors will need to show a photo ID, and/or a conference card/name badge, which will be compared to the list of names in order to gain admittance.
- A copy of the conference card/name badge needs to be included with the list of participant/visitor names.
- An updated list must be provided with any new names. No names will be added to the list at the facility check-in area. Any participant/visitor whose name is not on the list will have the option of paying the guest fee or not gaining admittance.
- Key tags are not transferrable. Those departments purchasing option 2 or 3 are issued key tags for specific individuals. If the key tag is used by someone other than the individual it was issued to, the key tag will be confiscated and that particular individual will be denied admittance.
- Conference ID’s are required for participants/visitors to check out equipment. Conferences or workshops where no conference card is issued can make special arrangements in advance for desired equipment.

Charge is “per participant/visitor” with no minimum number in group required.
All fees are subject to sales tax.
Payment methods
Paid by participant
Participants/visitors are eligible to purchase the above options when not paid for by the sponsoring department.
- Pay as you go
Option 1 can be purchased by the day at the Rec Complex service area or Natatorium check-in. -
Purchase a facility use option
Options 2 and 3 can be purchased in the administrative office at the Rec Complex, Monday-Thursday from 8 a.m.-6 p.m. and Friday from 8 a.m.-5 p.m. Conference participants must show their conference card/name badge to verify eligibility to purchase facility use. Official campus visitors must present photo ID.
Paid by sponsoring department
Departments may pay for any of the above options and choose to be billed either in advance of or after the requested dates.
- Bill pre-pay
Arrangements will be invoiced at least two weeks prior to the first day of facility use. Payment must be received prior to the first day of facility use. A 50 percent discount is offered for option 1. Options 2 and 3 remain at full price, and key tags will be issued to participants/visitors for facility access. -
Bill post-pay
Daily tallies for option 1 will be kept as participants enter the facility and will be billed to the department at the end. Any key tags issued through options 2 and 3 will also be billed after the requested time. There are no discounts with post-pay.

Parking
Parking permits are required Monday through Friday at the Recreation Complex from 7 a.m.-4 p.m. and at the Natatorium from 7 a.m.-5 p.m.
Conference attendees and campus visitors using the facilities during these times must either display a parking permit or utilize available parking meters to avoid being ticketed. Metered parking is also available.
Conference parking permits may be purchased at Parking Services, Edwards Hall, room 108. Direct all questions to Parking Services at 785-532-7275.
Applications
Applications must be received two weeks prior to the scheduled event or visit. You will receive an e-mail verifying receipt of your request and confirmation of dates requested. Click here to print a copy of the application form.
