There will be no organized activities except those sponsored by Recreational Services at the Recreation Complex or surrounding areas without special permission. For prices, see Schedule of Charges.
Scheduling Priorities
Both indoor and outdoor facilities are available for rentals as time permits as outlined below. Best opportunity for rental is from May 15 through August 15. Please contact the Recreational Services administrative office for more information.
Priority for scheduling will be in the following order:
- Recreational Services sponsored activities
- K-State student organizations registered with the Office of Student Activities
- K-State departments
- Non-university organization activities
Rental Policies
- Rental groups must abide by established Recreational Services policies as stated in the Recreational Services Facility Use pamphlet
- Facility rental reservations will not be taken for any one group on an ongoing basis. The Department of Recreational Services will only reserve space for special event activities.
- For those groups who charge admission, have concessions, and/or merchandise sales, there will be a 15% surcharge (15% of billing grand total) added to the rental cost.
- Hospitality drink or food will be allowed in designated areas only.
- Cereal malt and alcoholic beverages, smoking and tobacco products are prohibited in this facility at all times. This includes buildings, grounds, parking lots and any surrounding area. Violators are subject to disciplinary action.
- Groups will be responsible for their users' actions and conduct. All players, participants and spectators are encouraged to exhibit good sportsmanship and conduct themselves in a manner that will bring credit to the individual, the organization, Recreational Services, and Kansas State University. Gross or abusive language and/or actions are to be controlled and are not for public use. Proper crowd control must be enforced at all times to prevent injury to spectators and participants or damage to facilities.
- Commercial sponsors may be displayed on ads, flyers, banners, signs or posters only if minor significance in size. No large banners or signs will be displayed in any area with any sponsors' names listed.
- Facilities, fields, parking lots, etc., are to be left in the same or better condition than found. Charges will be assessed as necessary for clean-up, damages or loss of equipment. Any equipment loaned or rented will be returned on time as agreed.
- All normal Rec Complex fees (locker, towel, etc.) will be charged to user.
- Under no circumstances will field use be allowed if wet or it is raining. Recreational Services staff will make the final determination concerning playability of fields, up to and including game or use time. There will be no vehicles other than emergency vehicles allowed on the fields or courts. Parking in marked parking lots only.
Reservations
- Obtain a Facility Request/Agreement Form, which includes rental policies and fees, from the Recreational Services administrative office at the Chester E. Peters Recreation Complex.
- Review policies and fees. Complete the Facility Request portion and return it with deposit to the administrative office of the Chester E. Peters Recreation Complex along with other required documentation such as insurance coverage, tax exempt paperwork, etc. Required deposit will be $25 to student and university groups and $100 to non-university groups.
- Submit the Request/Agreement Form a minimum of two weeks in advance of the event.
- Reservations will be scheduled if they do not interfere with established Recreational Services' programs and the above priority groups.
- Reservations will be scheduled only during low-use times and will be limited as to the number of facilities
- Advance reservation requests for fall semester should be submitted by May 1, for spring semester by November 1, and for summer semester by March 1. Requests submitted after these dates will be assigned on a "first-come, first-serve" basis.
- Reservations may be refused (i.e., for other program priorities, failure to follow policies, damage to facilities, failure to meet previous financial obligations, etc.)
- Indoor rentals will not be considered for groups with members under 14 years of age
- Upon notification of approval of the request, return to the administrative office of the Chester E. Peters Recreation Complex. At that time the Facility Rental Agreement portion must be signed and full payment of rental fees must be received. Non-university organizations must have proof of liability insurance listing Kansas State University as additionally insured, with the minimum limits of $1,000,000 Personal Injury Coverage per person and $50,000 Personal Property Coverage per occurrence.
Cancellations
- Two business days' advance notice of cancellation to the administrative office of Recreational Services is required. Failure to notify Recreational Services of cancellation in the indicated manner shall result in the billing of the requested rental in full.
- Full deposit will be refunded when 2 business days' notice is given to the Department of Recreational Services. A minimum of 2 days must be allowed after cancellation notification for deposit to be refunded.
- No refund of under $15 will be made for fees charged by Recreational Services.
- Deposit will be forfeited in situations where the administrative office is not notified of intent to cancel.
Supervision
- Recreational Services will determine the number of departmental supervisory staff necessary for the event.
- Groups under the age of majority must have a minimum of one adult per area being rented when indoors.
Charges for Approved Use
K-State registered student organizations will be allowed to reserve space at no cost for practices, special events, and philanthropies. Associated charges for staffing, damages, and certain equipment rental will still apply.
K-State student organizations must be registered with the Office of Student Activities with a membership comprised of 80% K-State students. Officers of the organization shall be entirely comprised of K-State students. For the K-State student organization rate to apply, the K-State students shall be actively involved in the activity or rental and shall not apply for the student organization rate for an outside entity.
When permitted or approved use is allowed, the following charges will be in effect:
- K-State Student Organization. (See above definition of K-State student organization.) This rate will be in place when the student organization is reserving for a fund raising event to benefit their own organization.
- K-State Department/Conference. Official K-State departments or department conference groups. This includes K-State athletic sponsored sport camps.
- Off Campus (tax exempt/non-profit). An off campus group with a valid Kansas Exemption Certificate. A copy of the Kansas Exemption Certificate must be included with the return of the rental request form to the Recreational Services office.
- Off Campus. Groups outside the university.
